Who we are

Academy for Pet Loss operates academyforpetloss.com — a professional training platform and directory for pet bereavement counsellors. References to "we", "us" or "our" in this policy refer to the Academy for Pet Loss.

What data we collect and why

Enquiry and waitlist emails

If you submit your email address via our pre-registration form, we store your email address to notify you when our training courses open. We use this on the basis of your consent. You can withdraw consent at any time by emailing us.

Directory listings

Our counsellor directory contains listings sourced from publicly available information (including Google Maps and professional websites). These listings contain business names, locations, and contact information that practitioners have made publicly available in a professional context. Our lawful basis for processing this information is legitimate interests — specifically, helping people find specialist bereavement support.

If you are listed in our directory and wish to update or remove your listing, please email listings@academyforpetloss.com and we will action your request within 7 days.

Claimed and paid member profiles

Counsellors who claim or pay for a directory listing provide additional information (name, bio, photo, contact details, session information). This is processed under the basis of contract — to provide the service you have signed up for.

Payment data

Payment processing is handled by Stripe. We do not store card details. Stripe's privacy policy governs the processing of your payment information.

Usage data

We collect standard server logs and may use analytics tools to understand how the site is used. This data is aggregated and not used to identify individuals.

How long we keep data

Waitlist emails are held until you unsubscribe or until the course has launched and we have fulfilled our notification obligation. Member account data is retained for the duration of your membership and for up to two years afterwards for legal and accounting purposes. You may request deletion at any time.

Who we share data with

We do not sell personal data. We use the following third-party services which may process data on our behalf:

  • Google (Firebase / Firestore — database hosting; Cloud Run — site hosting)
  • Stripe — payment processing
  • Google Sheets — waitlist storage

Your rights

Depending on your location, you may have rights including: access to your data, correction of inaccurate data, deletion, restriction of processing, and data portability. To exercise any of these rights, email privacy@academyforpetloss.com.

If you are in the UK or EEA and believe we are processing your data unlawfully, you have the right to lodge a complaint with your local supervisory authority (in the UK: the Information Commissioner's Office, ico.org.uk).

Cookies

This site does not currently use tracking or advertising cookies. We may use essential session cookies to maintain login state for members. We will update this policy if our use of cookies changes.

Changes to this policy

We may update this policy from time to time. Material changes will be notified to registered members by email. Continued use of the site after changes constitutes acceptance.
